Privacy & confidentiality
Privacy Policy
How Ahana Hospitals handles information submitted through ahanahospitals.com and protects the confidentiality of people seeking mental-healthcare.
1. Who this policy applies to
This policy applies to information collected through ahanahospitals.com and its website forms. Ahana Hospitals LLP and its authorised teams may handle information submitted through the site in order to respond to enquiries, arrange appointments and support delivery of healthcare services.
This website privacy notice does not replace the more detailed confidentiality, consent, medical-record and information-handling processes that apply when a person becomes a patient or receives clinical care.
2. Information we collect through the website
Appointment requests
The current appointment-request form may collect:
- name;
- mobile number;
- preferred centre (Madurai, Chennai or help choosing);
- whether the request is for a first consultation, follow-up or is unsure;
- preferred date, if provided;
- email address, if provided; and
- additional information entered by the person, up to the form limit.
The form includes a Privacy Policy acknowledgement before submission. Appointment requests are sent to Ahana’s appointment/helpdesk email system so the team can contact the person and confirm availability. Submitting the form does not itself create a confirmed appointment.
Recruitment applications
The Careers application may collect information that is reasonably needed to evaluate and administer an employment application, including name and contact details, date of birth, preferred work location, qualifications, education, work experience, training, references, expected salary, joining availability, a CV or résumé and, where voluntarily provided, a photograph or additional HR information.
Some fields in the form—such as religion, blood group, Aadhaar/PAN/passport numbers and family details—are optional and are not required for initial shortlisting. Applicants should not upload identity-document scans unless Human Resources specifically asks for them later. Medication use and smoking status are not collected through the initial application form. Where role-specific occupational-health information is genuinely required, it should be handled separately and only to the extent necessary.
Recruitment submissions are routed to Ahana Hospitals Human Resources and may be retained in the recruitment system so the application can be reviewed, contacted, documented and, where applicable, progressed through interviews, qualification or registration checks, reference checks and other legitimate recruitment steps. Reference information should be supplied only where the applicant is entitled to provide it.
Technical information
Like most websites, our hosting, security and performance systems may process technical information such as IP address, browser or device information, request logs, timestamps and security events. This information may be used to operate, secure, troubleshoot and improve the website.
3. Why we use this information
Depending on the interaction, website information may be used to:
- respond to an enquiry or appointment request;
- receive, review and administer recruitment applications and communicate with applicants about relevant employment opportunities;
- contact the person about availability, location or an appropriate care pathway;
- route an enquiry to the relevant Ahana team;
- maintain website security, reliability and performance;
- meet applicable legal, regulatory, safety, clinical-record or dispute-resolution requirements; and
- protect the rights, safety and legitimate interests of patients, staff and others where permitted or required by law.
If you believe there is immediate risk of suicide, serious self-harm, violence, severe confusion, overdose or another medical emergency, seek urgent in-person help. For routine appointment requests, include only the information reasonably needed for the team to understand how to contact and guide you.
4. Mental-health information and confidentiality
Mental-health information can be especially sensitive. Ahana treats confidentiality as a core part of care. The Mental Healthcare Act, 2017 recognises a right to confidentiality regarding a person’s mental health, treatment and information stored in electronic or digital form, subject to the limited disclosures permitted by law.
If information submitted online becomes relevant to clinical care, it may be handled as part of the healthcare or medical-record process and may therefore be subject to clinical documentation, access, retention and disclosure requirements that differ from an ordinary website enquiry.
5. Sharing and service providers
Information may be accessed by authorised Ahana personnel who need it to respond to the request or provide the relevant service. We may also rely on service providers that support website hosting, email delivery, security, backups, forms, caching or other technical operations. Such providers process information in connection with the services they provide.
Information may also be disclosed where required or authorised by applicable law, lawful orders, regulatory requirements, or where disclosure is necessary to address a serious and lawful safety concern.
6. External services and links
Some pages may contain links or embedded services from third parties, including mapping services, social-media platforms or externally hosted media. When a visitor uses or interacts with those services, the third party may receive technical information and apply its own privacy and cookie practices. Ahana does not control the privacy practices of independent third-party websites.
7. Cookies and similar technologies
The website and its infrastructure may use cookies or similar technologies that are necessary for site operation, security, performance, form functionality or administrative functions. Third-party embedded content may use its own cookies or similar technologies. Where additional consent is required by applicable law for a particular technology or purpose, the relevant consent mechanism should be used.
8. How long information is kept
We aim to retain website-submitted information only for as long as reasonably necessary for the purpose for which it was collected, subject to applicable clinical, employment, legal, regulatory, security, accounting or dispute-resolution requirements. Retention may therefore differ depending on whether the information is an appointment enquiry, a recruitment application, or becomes part of a patient’s clinical or administrative record. Recruitment applications that are not progressed should not be kept longer than reasonably necessary for recruitment and related lawful obligations.
9. Security
Ahana uses administrative and technical measures intended to protect information against unauthorised access, alteration, loss or misuse. No internet transmission or electronic storage system can be guaranteed to be completely secure, so users should avoid sending unnecessary sensitive information through general website forms.
10. Children and appointment requests
Ahana provides child and adolescent mental-health services. Where a parent, guardian or other authorised adult submits an appointment request for a child, they should provide only information reasonably necessary to arrange care. Consent, confidentiality and information-sharing during clinical care are handled according to the child’s age, clinical circumstances and applicable law.
11. Your choices and requests
You may contact Ahana to ask about personal information you have submitted through the website, request correction of inaccurate contact information, raise a privacy concern, or ask whether information can be withdrawn or erased. Some information may need to be retained where required for healthcare, legal, regulatory, safety or other lawful purposes.
India’s Digital Personal Data Protection Act, 2023 and Digital Personal Data Protection Rules, 2025 have a phased commencement. Ahana will apply the obligations that are in force and update its processes as additional provisions become applicable.
12. Changes to this policy
We may update this policy when website functions, healthcare processes, service providers or applicable requirements change. The “Last updated” date at the top of the page identifies the current version.
